Hello students!
On behalf of the SIGGRAPH Asia Student Volunteer Program, I warmly invite you to join us for SIGGRAPH Asia 2024 as a Student Volunteer and become an essential contributor to the conference’s success and its community.
SIGGRAPH and SIGGRAPH Asia have been the place where much of the history of computer graphics is being made across decades and the Asian conference’s return to Japan is sure to be a great milestone this year. By volunteering with us, you will step into a global network of both students and professionals passionate about such fields as graphics and rendering, HCI, XR, animation, VFX, simulation, and more.
In terms of responsibilities, Student Volunteers are asked to contribute 16 hours of service across the duration of the conference to help support a variety of programs such as the Computer Animation Festival, Emerging Technologies or Art Gallery booths and exhibits, Technical Papers presentations, and Games and Production sessions. At the conference, you will have the opportunity to meet and interact with attendees and experts while developing your communication and teamwork skills. Additionally, the benefits you will receive as a Student Volunteer include a Full Conference pass to use during your free time, as well as exclusive access to Student Volunteer special sessions and industry panels.

Applications will open on April 8th 2024. Before applying, please check the eligibility criteria on this page and be careful about the following deadlines: August 2nd 2024, 23:59 AOE for Student Volunteers, and July 12th 2024, 23:59 AOE for Team Leaders. Applications are submitted using the ‘Student Volunteer’ option of the ‘Make a New Submission’ tab on SIGGRAPH Asia 2024’s submission site at https://ssl.linklings.net/conferences/siggraphasia/.

Only open to students who have previous experience as Student Volunteers. Applicants must complete TL-specific essays in addition to the regular elements of the Student Volunteer application. Please adjust your spam filter so that messages from siggraph.org email addresses will not be placed in your junk-mail folder. Applicants who are not accepted as Team Leaders will still be considered for Student Volunteer positions via the same application.

Interested students are required to complete the application and upload proof of their full-time student status (valid student ID, transcript, or proof of enrolment, etc. – please see the eligibility criteria below).

SV (Student Volunteer) Eligibility Criteria

  • Enrolled as a full-time high school, undergraduate, or graduate student during the 2024 calendar year or graduated after 1 January 2023.
  • At least 18 years of age as of 2 December 2024
  • Willing and able to fulfil the required amount of on-site volunteer service allocated by the Student Volunteer Program (about 16 hours in total).
  • Business level in spoken English.
  • Complete their volunteer application prior to the Application Deadline (2 August 2024, 23:59 AoE).

TL (Team Leaders) Eligibility Criteria

  • Demonstrated outstanding abilities as an SV or TL in at least one of the four most recent SIGGRAPH or SIGGRAPH Asia conferences.
  • Show themselves to be organized, motivated, enthusiastic, and dedicated towards helping the conference run smoothly.
  • Capable of performing well under pressure and effectively managing large groups of people.
  • Complete their volunteer application prior to the TL Application Deadline (12 July 2024, 23:59 AoE).

Support the SIGGRAPH Asia 2024 Conference (3 – 6 December 2024)

Commit 16 hours (approximately) of volunteer service to the conference. Examples of Student Volunteer assignments may include:

  • Monitoring doors and checking badges
  • Providing guidance to attendees
  • Facilitating spoken-language translations
  • Assisting conference contributors at various venues, presentations, or exhibits
  • Providing general assistance to conference staff

Volunteers must not leave the Tokyo International Forum earlier than 18:00 on Friday, 6 December 2024 and are expected to be available to attend and help the conference during its duration. We recommend that you consider staying until Saturday, 7 December 2024 to celebrate a successful conference together with your new SIGGRAPH Asia colleagues on the Friday evening.

Submission Deadlines and Outcomes

Q1. I missed the submission deadline, what can I do?

Applicants are responsible for their application status, and only completed applications will be considered. Incomplete submissions will not be considered, and all submissions must be made online.

You are encouraged to submit early to allow time for unforeseen circumstances that may delay your submission, including problems with your internet connection.

Q2. How will SIGGRAPH Asia 2024 address network failures?

SIGGRAPH Asia is only responsible for the availability of the submission server. If the Student Volunteer Program Chair is notified of a hardware or service failure in the submission system, they will authorize an appropriate adjustment and inform applicants via the SIGGRAPH Asia 2024 website and social media accounts. All other network failures between an applicant’s location and the SIGGRAPH server will not exempt them from deadline-related obligations. Note that the local clock on the submission server determines the final submission deadline time.

Q3. When and how will I be notified if I have been accepted?

All applicants who submit a completed application will be notified of their application’s status via email around the week of 26 August 2024. Team leaders will be notified around the week of 22 July 2024.

Q4. My email address will be changing soon. How can I notify you of the update?

You can change your contact information using the online submission system at any time.

Q5. I have submitted the online form, but it still allows editing. Am I done?

Yes, and you may continue editing it until the submission deadline.

Acceptance and Deployment

Q1. I have been accepted as a Student Volunteer and I am receiving housing assistance. However, I will arrive in Tokyo a day early. Can I get an extra night of accommodation?

No. Decisions on complimentary housing are final and cannot be negotiated. You can ask the SV Program for housing details or choose your own hotel to book an additional night at your own expense.

Q2. I have been accepted as a Student Volunteer, but I am no longer able to attend the Conference. Who should I notify?

If you need to decline your position for any reason, please send an email to sv_asia@siggraph.org as soon as possible so that we can make alternative arrangements.

Q3. What should I wear during the conference?

Comfortable clothes and shoes (appropriate t-shirts, polo shirts, shorts, jeans, trousers, and sneakers). Many attendees dress casually during the Conference, and formal business attire is generally not required. Please note that SIGGRAPH Asia is a professional conference and thus, if you are not sure if something is appropriate or not, please ask. Winter in December in Tokyo is expected to be cold (between 5 and 10 degrees Celsius) so please make sure to pack appropriate clothes.

Note: We will also be providing uniforms to all student volunteers.

Q4. What are my working hours like?

Depending on the duties assigned, student volunteers may have shifts that start as early as 8am and end at 7pm; however, there are shifts that do run later. Some student volunteers may have schedules that run as late as 10pm. We will do our best to avoid assigning students back-to-back shifts, allow time to attend events and spread their duties over the course of the Conference, but we cannot guarantee this.

Q5. What is a Team Leader expected to do during the conference?

A Team leader’s tasks include leading and coordinating student volunteers in their respective areas and coordinating volunteer duties with the SIGGRAPH Asia 2024 Conference Committee members who oversee venues over the course of the Conference. Team Leaders also aid in training and supervising student volunteers, as well as assisting the organizers, other committee volunteers and attendees.

Q6. Can I bring personal items and bags to the event venue?

Yes. The Student Volunteer Office will reserve an area for student volunteers to keep their personal items. However, do note that the SIGGRAPH Asia 2024 organizers will not be responsible for any lost or stolen items.

Q7. What should I do if I am dismissed early from my shift?

You should inform your assigned team leader for them to check you out of your shift. You can freely attend the conference or visit the city during your extra time while off-shift. However, please make sure that you can start your following shifts on time.

General Matters

Q1. Are cameras allowed in the conference?

You can take your camera to the receptions, conference exhibits, and Student Volunteer office, but use of camera is not permitted at certain presentations or places in the venue unless you have an approved media pass or are part of the organizing committee.

Q2. Will I be able to experience some of the exhibits and other conference events?

Yes. As one of the perks of being a Student Volunteer, you will have the equivalent of a Full Conference registration, so you will be able to go to almost anywhere in the conference. The exhibition hall and most of the conference will be open to you during your free time.

Q3. My question is not in these FAQs. Who should I ask?

ACM SIGGRAPH strives to create a welcoming and nurturing community for everyone working in computer graphics and interactive techniques independent of gender, sexual orientation, ethnic background, religion, country of origin, or abilities. Work submitted to this program should be in alignment with these values.

For any submission to an ACM SIGGRAPH conference or Standing Committee activity, the person in charge (PIC) of the program should be aware of and sensitive to potential issues pertaining to the ACM SIGGRAPH values of Diversity, Equity, and Inclusion. If an issue is identified, then the authors of the submission shall be asked to modify their submission to resolve the issue before acceptance. If the PIC is unsure if there is an issue, then they should contact the Chair of the DEI Committee for advice.
