Student Volunteer Submission Deadline: 4 August 2023, 23:59 AOE (Closed)

Hello Students!
On behalf of SIGGRAPH Asia 2023’s Student Volunteer Program, I warmly invite you to participate at SIGGRAPH Asia 2023 as a Student Volunteer. Student volunteers are essential as a part of our core support structure.
Whether it’s the way we are thinking, working, playing, or creating, these are all impacted by the amazing advancements seen in the computer graphics industry. SIGGRAPH Asia has been able to introduce these cutting-edge developments to the world for the past years, and this year will be just the same!

As a Student Volunteer, you are invited to volunteer 16 hours of service in support of a variety of conference programs such as Computer Animation Festival, Emerging Technologies, and Technical Papers, among others. Beyond supporting the Conference as a volunteer, you will have the opportunity to meet and learn from professionals, creators, educators, and visionaries who help to turn dreams into reality. Additionally, the benefits you receive as Student Volunteers include a Full Conference pass to use during your free time and exclusive access to Student Volunteer special sessions.

Applications are now open! Please check the eligibility criteria before you apply. Application deadlines are 4 August 2023, 23:59 AOE for Student Volunteers applications, and 3 July 2023, 23:59 AOE for Team Leader applications. Applications are submitted using the ‘Student Volunteer’ option of the ‘Make a New Submission’ tab on SIGGRAPH Asia 2023’s Submission Site at https://ssl.linklings.net/conferences/siggraphasia/.
You are always welcome to contact me for any queries regarding the Student Volunteer Program at sv_asia@siggraph.org.
My team and I are looking forward to welcoming you and working together with you at SIGGRAPH Asia 2023!

Submission Deadlines and Outcomes

When is the deadline to submit applications to the Student Volunteer Program?

Applicants are responsible for their application status, and only completed applications will be considered.
Incomplete submissions will not be considered, and all submissions must be made online. You are encouraged to submit early to allow time for unforeseen circumstances that may delay your submission, including problems with your internet connection.

How will SIGGRAPH Asia 2023 address network failures?

SIGGRAPH Asia is only responsible for the availability of the submission server. If the Student Volunteer Program Chair is notified of a hardware or service failure in the submission system, they will authorize an appropriate adjustment and inform applicants via the SIGGRAPH Asia 2023 website. All other network failures between an applicant’s location and the SIGGRAPH server will not exempt them from deadline-related obligations. Note that the local clock on the submission server determines the final submission deadline time.

When and how will I be notified if I have been accepted?

All applicants who submit a completed application will be notified of their application’s status via email around 23 August 2023. Team leaders will be notified around 19 July 2023.

My email address will be changing soon. How can I notify you of the update?

You can change your contact information using the online system at any time.

I have submitted the online form, but it still allows editing. Am I done?

Yes, and you may continue editing it until the submission deadline.

Acceptance and Deployment

I am a Student Volunteer working 16 hours and I am receiving complimentary hotel accommodation. However, I will arrive in Sydney a day early. Can I get an extra night of accommodation?

No. Decisions on complimentary housing are final and cannot be negotiated.

I have been accepted as a Student Volunteer, but I am no longer able to attend the Conference. Who should I notify?

If you need to decline your position for any reason, please send an email to sv_asia@siggraph.org as soon as possible so that we can make alternative arrangements.

What should I wear during the conference?

Comfortable clothes and shoes (appropriate t-shirts, polo shirts, shorts, jeans, trousers, and sneakers). Many attendees dress casually during the Conference, and formal business attire is generally not required. Please note that SIGGRAPH Asia is a professional conference and thus, if you are not sure if something is appropriate or not, please ask. Outside of the Convention Center, the temperature in Sydney, Australia in December is expected to be between 17 and 26 deg C, so please make sure to bring appropriate clothes.

Note: We will also be providing uniforms to all student volunteers – It may be a T-shirt, vest, hoodie etc. – This will be shared at a later date.

What are my working hours like?

Depending on the duties assigned, student volunteers may have shifts that start as early as 8am and end at 7pm; however, there are shifts that do run later. Some student volunteers may have schedules that run as late as 10pm. We will do our best to avoid assigning students back-to-back shifts, allow time to attend events and spread their duties over the course of the Conference, but we cannot guarantee this.

What is a Team Leader expected to do during the conference?

Team leader’s tasks, beyond usual student volunteer tasks, include leading and coordinating student volunteers in their respective areas and coordinating volunteer duties with the SIGGRAPH Asia 2023 Conference Committee members who oversee venues over the course of the Conference. Team leaders also aid in training and supervising student volunteers, as well as assisting the organizers, other committee volunteers and attendees.

Can I bring personal items and bags to the event venue?

Yes. The Student Volunteer Program Office will reserve an area for student volunteers to keep their personal items. However, do note that SIGGRAPH Asia 2023 organisers will not be responsible for any lost or stolen items.

What should I do if I am dismissed early from my shift?

You should inform your team leader and then report to the Student Volunteer Program Office. If you cannot find your team leader, please report directly to the Office.

General Matters

Are cameras allowed in the conference?

You can take your camera to the receptions and Student Volunteer office, but use of camera is not permitted at certain conference sections unless you have an approved media pass or are part of the organizing committee.

Will I be able to experience some of the exhibits and other conference events?

Yes. As one of the perks of being a Student Volunteer, you will have the equivalent of a Full Conference registration, so you will be able to go almost anywhere in the conference. The exhibition hall and most of the conference will be open to you during your free time.

My question is not in these FAQs. Who should I ask?

Please send an email to sv_asia@siggraph.org and we will reply to you as soon as possible. Should your question apply to other student volunteers as well, we will post your question, the answer to it, and other additional information on the web site.
